Business process automation

The data that gets copied from one system to another and the report someone builds every Monday are handled by a workflow that runs on its own. Every step is logged and, if something fails, the workflow alerts the person in charge.

Floor plan detail: administration desks and the file cabinet
Administration: where accounts are reconciled, invoices issued and the weekly report put together.

What it looks like in your operation

Administration · Monday, 8 a.m.

Someone downloads reports from two systems, pastes them into a spreadsheet and builds the weekly presentation. It takes the whole morning. The workflow gathers the data on Sunday night, and on Monday the report is already in management's inbox.

Accounts receivable · month end

Bank payments have to be matched against issued invoices, line by line. The workflow does the matching and leaves for review only the payments that do not find their invoice.

Quality · every reject

When quality sets a part aside, someone fills in the form and sends it by email. The workflow opens the record with the photo, lot and time, and notifies whoever has to handle it.

What we deliver

The workflows running, with a log of every step and every error, alerts to whoever has to handle a case that does not match, and a dashboard showing what ran and what is pending. Also the documentation of each workflow, so your team knows what it does and how to stop it.

With what you already have

We connect the systems your company already uses: the business system, the bank, spreadsheets, email and your customers' or suppliers' portals. If a system cannot be connected, the assessment says so and we propose another route.

How it starts

We go through the work step by step with the person who does it today. We automate first the process that takes the most hours and run it next to the manual process until the results match.

Cost and timeline

It depends on how many systems need to be connected, how many steps the process has and how many exceptions it handles. After the assessment we send the scope, price and dates in writing.

How we work: scope, deliveries and maintenance

What you can see today

We build and run RHUNO, which calculates each person's vacation days under Mexico's Federal Labor Law and takes attendance from time clocks with no manual entry. It is the same kind of work: data that moves from one place to another without anyone copying it.

Questions about process automation

What happens if one of the systems changes?

The workflow alerts you when a step fails instead of carrying on with incomplete data. The fix is part of maintenance.

Do we lose control of the process?

No. Every step is logged with time and result, and cases that do not match go to a person.

Do we have to change the systems we use?

No. We connect to what you already use. If changing something makes sense, we explain why and you decide.

What if the process lives in spreadsheets today?

That is the most common case. The workflow can read and write them while your team decides whether to move them into a system.
